March Meetings Recap

Collected from meetings held 3/7, 3/14, 3/21 & 3/28.

Open Enrollment
Open Enrollment for benefits is March 13-April 7. Enroll through ESS.  If you need to recover your ESS password, call 832-394-4487.

Training
Pronunciator - Due 5/1. Please sign the sign-in sheet on my desk.
Cyber Security - Please ignore emails about this training for now.

Library Catalog
Ebsco Discovery Service is a new catalog feature.  There’s a new tab in the search results that says “eResources and Articles” on the left hand side where the limiters are.  Clicking on this tab will bring up eBooks as well as database articles.  This is a quick way of finding multiple sources without having to click through the databases separately.

Hold Shelf Maintenance
Clearing the hold shelf needs to be done daily. If the list isn’t posted in the morning, check again later in the day or the next morning. Please use the sheet on the clipboard at the desk to initial when the clear holds has been completed and to make sure it was done the previous day.

Collection Maintenance
Do not stamp yellow-labeled books when they need to be discarded.  Also, don’t check them out to LOO-DISCARD.  Instead, check them out to LOO-FLOAT and send them directly to Sara Karow.

Please add one of the new sticky labels to the newspapers each morning. Hopefully, this will stop customers from removing the staples and doing the crossword puzzle.

If a customer returns a damaged ILL, please check the item in and put it in an envelope, ATTN: Marcia or Tunisia.  Add a note to the item stating it is damaged and that the customer is aware.  The customer will be billed by the owning institution.

Kits
Each branch will receive a reference copy of a citizenship toolkit (which contains material about becoming a citizen).  There will also be circulating copies in the system.  If one floats our way, we have to treat it as we would any kit (open it up and check for parts).  More on this later.

If you check-in a FLIP kit that has a hold for another Looscan customer, you should still send it to CMH.  It is okay to check-out the FLIP kit to LOO-REFURB and override the “Item has an available hold” message.  As long as you check the item out to LOO-REFURB immediately, the customer will not get an email or phone call that their hold is ready for pickup.

MY Link Library Card Online
Customers can now apply for library cards online.  If someone says they did, ask for a photo ID to verify information.  The customer does not need to fill out a paper form if they applied online.  Please refer to the staff FAQ about MY Link Online Library Card if you have questions.

Items on Customer Accounts
Please keep items that are still on customer accounts on the appropriate shelf in the work room.  This will make it easy for all staff to locate the item in question.

Laptops
Make sure people log out of everything when laptops are returned.  You can also shut down or reboot the computers after they are returned to clear out the history, etc.

Remember to plug in the laptops when they are returned to the cart.

Donations
When customers donate books at the back door, all transactions must take place outside the building.  Wheel out the bin, a basket or carts as necessary to help with loading the books/boxes.  Customers must remain outside at all times.

Meeting Rooms
Please put new reservation forms in the basket at the desk.

If you take a reservation for a group serving food, please put (Food Fee) in the name when you add the event to the Google calendar. This will help us remember to charge the group when they arrive on the day of the event.

Please begin putting “spacers” in between meeting room or conference room reservations.  Put a spacer before and/or behind the meeting as applicable.  This will allow for smoother transitions between groups.  See the Google calendar for examples.

Security Issues
Please be aware that photography without permission is not allowed in the library and can start with a 90-day suspension.  Use your judgment on whether to give a warning to the customer before issuing the suspension.

If you catch a customer violating the rules, you can issue a warning the first time (depending on the offense).  If the customer is caught again, then follow the suspension policy.  Please write an incident report if you ask a customer to leave the building. Other important documents: Suspension Notice. Trespass Warning.
