June Meetings Recap

Collected from meetings held 6/6, 6/13, 6/20 & 6/27:

Exhibit
The Holocaust Museum butterfly exhibit will be here until sometime in August. We have a book at the desk with more information/art if customers show an interest. We are not to use Windex or other commercial glass cleaners on the case because it scratches easily. If you notice excessive fingerprints on the glass, let me know, and I will contact Danielle Wilson.

Citizenship & ESL
I have a teacher edition of the Citizenship Toolkit in my office. Take a look so you know what to expect when the circulating copies come in.

There will be citizenship classes at Montrose starting Thursday, July 6th from 4:30-6pm. Melissa and Tasha will be teaching these.

We have a new binder with library flyers in the following languages: Spanish, Vietnamese, Chinese, Arabic, and French. This binder will stay at the desk. Most of the flyers have English on one side. Please distribute these to customers with limited English proficiency as needed.

Summer Reading Program
Program Codes
----Staff @ the desk are only allowed to give out the Flip Kit program code. Only Babies/Toddlers (ages 0-4) can use the code for Flip Kits.  Give parents the code when they return a Flip Kit. If someone requests a different program code, refer them to Donna (if a kid’s program) or Marlena (if a teen program).
----If a customer has difficulty logging activity codes, make sure they are putting the code in the correct program category.
----Keep in mind that customers only get one code per type of event they attend (one animal program, one gaming program, etc.).

Prizes
----There’s a glitch where some adult readers are not showing the prize they earn at registration (museum tickets).  To fix the glitch, click on the green check mark that says they are enrolled in the program. The check mark will turn into a red X. Click on the red X.  When the X turns into a check mark again, the prize will appear.
----There is a typo in the SRP booklet. It lists under prizes that Babies & Toddlers get the certificate and sunglasses, but this is wrong.
----At the 30 book level, babies (ages 0-2.5) get a bib and a teether. The teethers are wrapped inside the bibs. Toddlers (ages 3-4) get a Super Mario Bros. dish set.
----Astros tickets are already in the tote bag. Be careful not to dump them out and check to make sure they are in the bag before you hand it over to the child/teen.
----Give any damaged SRP prizes to Marlena or Donna.
----If a customer comes to pick up a certain prize and Beanstack shows they have already been awarded that prize, please email Kallie Benes the name of the customer. She’s keeping track of customers who claim not to have received prizes marked as awarded in Beanstack.
----Donna has requested more prizes. Please let her know when they arrive in Delivery.

Family Prize Pack
----These are in stapled HPL bags.  Please do not open the bags.  Hand the bags over stapled shut.
----Parents will receive codes via email when they become eligible to receive the prize pack. Codes must be entered by the parent before the prize can be redeemed.
----The prize pack should match the age of the child participating. However, if the parent has more than one child across different age groups, they may choose which age prize pack to receive. They are only eligible to receive one prize pack.
----The prize is awarded on the adult account.

Friday movies in June and July are at 2:30 pm.  Friday movies in August will go back to 3 pm.

Volunteers are only allowed to help register patrons for SRP or log books for patrons.  They are not allowed to use the admin side of Beanstack to award prizes.

All book lists patron’s ask for can be found under Recommendations in their Beanstack account.

Book Lists
-The lists in the binder at the desk have call #s. Customer can photograph or photocopy the pages they need.  Don’t give out the lists because we won’t get them back!
-Marlena made copies of the K-6th grade HAISLN lists, which will hang on the bulletin board in July for customers to use (not keep).

Collection Maintenance
YA Spanish should be shelved with Adult Spanish.

Remember that Harlequins have their own section (next to the uncatalogued Classics).  Interfile other mass market paperbacks, though.  Spanish Harlequins are interfiled with Spanish fiction.

Books with extremely shiny covers or gold/silver edged pages sometimes interfere with tags.

Sara Karow has given us permission to float out extra boxes every week. We can still send out 3 regular boxes of float items and then 2-3 boxes with S-Plan (yellow-labeled) items. She also said we can include damaged S-Plan items in the S-Plan float boxes, but we need to be sure and put labels on the damaged books.

United Way Senior Guidance Directory – We are expected to get two reference copies of this.

ILL
-Items will only be sent from within the USA, so if it’s only available in a foreign country, don’t bother ordering it.
-If you make a mistake when putting in a request, you must call ILL to change the pickup location.  Don’t cancel the request and resubmit it. Cancelled requests will actually stay on a customer’s account until ILL manually removes it.
-Customers can create Worldcat accounts and link them to their ILL account.  ILL can’t recover lost passwords and usernames, though.  This is done through Worldcat directly.
-To request a journal article, search for the journal name, NOT the article name!  When you find the journal and request it, it will then ask for the article name, page numbers, etc.  Page numbers can be put in as 68-eoa (end of article) or 68-72+ (not sure if 72 is actually last page, so lending institution knows to check beyond that page).
-Microform and ‘in library use only’ items will all go to Clayton for viewing.
-If an ILL is at LOO and the patron wants to pick it up at JUN, modify the hold pickup location and discharge the item so it goes into transit.  Put a cover sheet on the item so that it does go to JUN as a new ILL and not back to CEN.  It is not necessary to call ILL to have an item transferred if you have it in your hand.
-Do not mark ILLs lost or damaged.  The default price in Sirsi is $25, but the actual cost of an ILL may be much more.  Let the customer know that a charge will be manually added to their account by ILL, and let ILL know what’s going on.  If you only charge the customer $25, HPL will end up paying the difference owed to the lending institution!
-ILL will also manually add charges for long-overdue items.  Do not remove the fine if the customer returns the book.  HPL already paid the lending institution, so the customer is still responsible for the full fine.  Customers also can’t keep ILLs they pay for!
-You can submit a request for an item through ILL if HPL only owns the ebook version but the customer wants the physical book.  Requests won’t be honored if HPL only owns a reference book and the customers wants one to check out, though.

Volunteers & Programming
Volunteer Program Request Form – This will be on the intranet under forms and on the youth services blog.  This form is to be used if an individual asks about volunteering at the library to teach a class (like yoga, knitting, etc.). Staff will fill out the top portion of the form and then send it to Jennifer Schwartz (if an adult program) or Kallie Benes (if youth). CC Andrea Lawrence on any emails sent about the potential volunteer and program.
